The ABA Intake Problem Nobody Talks About

The ABA Intake Problem Nobody Talks About

ABA practices spend thousands of dollars a month on advertising and then wonder why their caseload isn’t growing. The ad campaigns get clicks. The website gets traffic. The forms get submissions. But the sessions don’t fill.

The problem is almost never the advertising.

After working with ABA practices across 18 US states since 2018, we’ve audited dozens of intake processes. The pattern is consistent. The advertising is doing its job. The enquiries are arriving. The breakdown is in what happens after the form is submitted.

The Five-Minute Window

When a parent submits an ABA intake form, they’re actively choosing a provider right now. They’ve probably submitted forms to two or three practices simultaneously. They’re waiting to see who responds.

Research across healthcare and service industries is consistent: the probability of successfully engaging a lead drops by more than 80% if first contact is delayed more than five minutes. In ABA therapy, where parents are stressed, comparing providers, and urgently trying to get their child started, that window closes fast.

Most ABA practices respond to enquiries in hours. Some respond in a day. A small number don’t have a reliable response process at all. Enquiries sit in an email inbox until a coordinator sees them on Monday morning.

Every hour of delay is an enquiry drifting toward a competitor who responded faster.

This isn’t a judgement about the practices. Intake coordinators are busy. They see complex cases all day. They can’t be sitting at a computer at 9 PM on a Saturday waiting for a form submission. But the parent submitting that 9 PM form isn’t thinking about the coordinator’s schedule. They’re thinking about their child.

The solution isn’t to hire someone to watch forms around the clock. It’s to automate the first response.

What Happens After the Call-Back

Practices that have solved the first-response problem sometimes discover a second layer: the qualification call itself.

An intake coordinator who sounds uncertain (who can’t confidently answer “do you accept MassHealth?” or “what is the wait time for an assessment?” or “what age ranges do you see?”) loses parents to competitors who sound more organised. Not because the competitor’s therapy is better, but because the parent is interpreting confidence on the phone as a signal of organisational quality.

Common qualification call failures we see in intake audits:

No answer for insurance questions. The parent asks which insurers are accepted. The coordinator says “I’d have to check on that” and promises to call back. By the time they call back, the parent has already been told by a competitor.

Vague timeline answers. “Our wait for assessment is usually a few weeks” isn’t the same as “we currently have assessment slots available in three to four weeks.” Specificity builds confidence. Vagueness creates anxiety and encourages the parent to keep shopping.

No rapport before qualification. Beginning a call with rapid-fire qualifying questions (“what’s your child’s date of birth, what insurance do you have, what’s their diagnosis code”) feels transactional. Parents who feel processed rather than heard are less likely to schedule.

No follow-up path when the call doesn’t convert. A parent who sounds interested but doesn’t commit to scheduling needs a structured follow-up, not one attempt and then silence.

The Wait Period Problem

The third layer is less visible but equally damaging: what happens to the family during the assessment wait.

Most practices schedule an assessment and then essentially go quiet. The family waits. Weeks pass. They hear nothing. By the time the assessment appointment arrives, some parents have forgotten they’re in the queue. Others have found an alternative. Some arrive to the assessment with reduced confidence in the practice. Their experience of the wait period was silence.

The wait period is a relationship period. Families who receive consistent, useful communication during the assessment wait (what to expect, how to prepare, useful background information about ABA therapy) arrive to the assessment engaged and ready. They’re less likely to have continued shopping in the interim.

What Fixing Intake Is Actually Worth

A practice converting 18% of qualified enquiries to authorised clients, receiving 40 qualified enquiries per month, produces 7 new authorised clients per month.

Improve that conversion to 25% (a realistic target from systematic intake improvement) and you produce 10 clients from the same 40 enquiries. That’s 3 additional clients per month, each generating $1,200 per week in billable revenue. At a 20-month average engagement, each of those three clients represents approximately $104,000 in lifetime revenue.

The ROI on intake optimisation is often higher than the ROI on increasing advertising spend, especially when the advertising is already generating sufficient enquiry volume. But practices default to “we need more leads” rather than “we need to convert more of the leads we have.”

Both levers matter. Most practices underweight the conversion lever.

The System-Level Fix

The practices with the best intake conversion rates have three things in common:

Automated first response. An immediate, personalised SMS/email within minutes of every enquiry, from a HIPAA-compliant system, around the clock.

Trained intake coordinators. Coordinators who know the qualification criteria, can handle the most common objections confidently, and approach the qualification call as a relationship-building conversation rather than a screening exercise.

Structured follow-up for non-converting enquiries. A sequence of follow-up contacts over 14 to 30 days that re-engages warm but uncommitted families rather than letting them drift.

None of these elements requires a large new investment. They require a system, implemented consistently. That’s what Reputation Elevation’s intake optimisation programme builds.

Reputation Elevation works exclusively with ABA therapy providers. The intake optimisation programme combines Lead Center automation and intake team training. Schedule a strategy call to discuss your practice’s intake conversion.
