Intake as a Service

Launching December 2026 · Limited founding spots

Your leads, called by an intake team trained to enroll ABA families.

Calls made in your practice’s name.

Nearly two full-time hires’ worth of hours.

71.5 hours of coverage a week.

Works with leads from any source, not just our ads.

A script refined by a closer who enrolled 400 families in one year.

Your best lead this week came in at 8:40pm.

A parent finally gets the kids to bed, picks up their phone, and fills out your form. Then they fill out two more.

The next morning, your intake coordinator has benefits to verify, a schedule to fill, and voicemails to return. By the time someone calls that parent back, another provider may already have.

That isn’t a lead problem, and it usually isn’t a people problem. One person can’t stay on the phone from 7:30am to 9pm and still do everything else intake requires.

An Intake Team With One Job: Calling Your Leads

7:30am to 9pm Eastern, Monday through Friday, plus four hours on Sunday

Intake as a Service puts trained callers on your leads during the hours families actually reach out.

They call new form leads and answer your intake line in your practice’s name, using our ABA intake framework to earn the parent’s commitment to move forward.

Then they hand the family to your intake coordinator with what your team needs to finish.

We get the family to yes. Your team takes it from there.

Coverage you’d need two hires to match. 7:30am to 9pm Eastern is 13.5 hours a day. Add four hours on Sunday and that’s 71.5 hours a week, nearly two full-time employees. You don’t recruit, train, schedule, or replace anyone.

Leads called sooner. Calls answered by a person. Our callers aren’t squeezing in benefits checks between calls. New form leads get called sooner, and your intake line gets answered by a person, so fewer parents hang up on hold or move on to the next name on their list.

A Script Proven to Persuade Parents

Our callers use the same ABA intake training we teach practices across the country: an emotionally intelligent sales psychology framework that helps parents choose your practice and commit to starting services.

Owners who were struggling to persuade parents have told us their calls started working once they switched to it.

Then we made it better. One of the strongest ABA intake professionals we’ve come across reviewed it for us: someone who enrolled 400 families into services in a single year, mostly from Facebook ads. That feedback is built into the script our team uses on your leads.

How It Works

From first call to warm handoff, in four steps.

Step 01

Discovery Call

We learn your services, locations, ages served, insurance you accept, current availability, and exactly how you want families handed off.

Every call starts with knowing your practice.

Step 02

Setup

(Fast + Painless)

We connect your lead sources and intake line, and tailor the script to your practice.

Our callers answer in your practice’s name, trained on how you work.

Step 03

Live Calls

Our team calls new leads and answers your line from 7:30am to 9pm Eastern, Monday through Friday, plus four hours on Sunday, using our ABA intake framework.

Listen. Understand. Earn the yes.

Step 04

Warm Handoff

Committed families go to your intake coordinator with their details.

You can see what happened on every lead, and your team takes it from there.

Who Does What

We handle the first conversation. Your team handles the rest.

We don’t replace your intake coordinator. We get the family to yes, then pass your team the details: who they are, what they’re looking for, what matters most to them, and the next step they agreed to.

Our intake team:

Calls new form leads

Answers your intake line

Learns each family’s situation

Earns the commitment and hands off

Your team handles benefits verification, paperwork, scheduling, and everything after the handoff.

Faster Feedback for Your Ads

When the same company runs your ads and calls your leads, we hear what happened on every call, not just what the form said.

Our ads team sees which ads bring families who commit and which bring families who never pick up, and moves budget faster toward the ads that fill your caseload. (This applies when we also run your ads.)

Who It’s For

Intake as a Service fits practices like these. You don’t need to run ads with us to use it.

Practices with a steady flow of leads from ads, SEO, or referrals

Intake coordinators who also handle benefits and paperwork

Practices whose leads arrive in the evening and on weekends

Owners expanding into new locations or states

Owners who’d rather not hire and manage two more people

Built for healthcare from day one: we sign a Business Associate Agreement before our team touches a single lead. See our HIPAA approach.

Stop Losing Families to Voicemail.

Founding spots are limited so our team can do this right. Start with a conversation.

Intake as a Service FAQs

1. Does this replace my intake coordinator?

Answer: No. We handle the first conversation and the commitment. Your coordinator handles benefits, paperwork, scheduling, and getting the family started, with more time to do it well.

2. Do I have to run ads with Reputation Elevation?

Answer: No. We call leads from any source. If we also run your ads, our ads team learns from every call too.

3. What hours do you cover?

Answer: Monday through Friday, 7:30am to 9pm Eastern, plus four hours on Sunday.

4. What happens to leads that come in after hours?

Answer: We call them during the next coverage window.

5. Who makes the calls?

Answer: Members of our intake team, trained and managed by Reputation Elevation on our ABA intake framework. They answer your line and call your leads in your practice’s name, as part of your team.

6. Is it HIPAA compliant?

Answer: Yes. We sign a Business Associate Agreement before we start, and handoffs run through HIPAA-compliant systems.
